There are two types of emails sent by Appraisd - reminders and alerts.
Email reminders
Email reminders are one of the key features of Appraisd and help to deliver useful information to users without them needing to log in. You can choose to enable them in Configuration > Emails.
Pre- and post-review date reminders are sent to the reviewee, manager, second sign-off (if using) and feedback-givers (if using). The schedule depends on what stage a review is at and what workflow is being used.
As an example, the following table describes the reminders that are sent for our standard 3-stage workflow:
You can also choose to enable the following emails in Configuration > Emails:
- Weekly Sense Check email to Administrators.
- Weekly objectives update email to Objectives Administrator. Typically this is used to alert an L&D manager of all the Personal Development activities that have been added recently across the whole of your account.
- Copy in HR to any alerts sent about probation reviews so HR are automatically updated when probation reviews are submitted.
Email alerts
The alert emails are triggered when someone does something in the system. Some cannot be disabled and some are controlled by settings in the Configuration area of your account. They also follow the visibility rules set out on your account, for example, if feedback is hidden from employees, they will not receive an email when they are given feedback.
To employees
- Receiving instant feedback (emails grouped overnight, instant via the Slack/Teams app, always)
- Receiving a reply to instant feedback (emails grouped overnight, instant notification via the Slack/Teams app, always)
- Receiving a response to your get feedback review (email instant, controlled by a setting)
- Receiving 360 feedback within a review (email instant, controlled by a setting, if visibility allows)
- Receiving an invite to give feedback in a colleague's get feedback review (email instant, controlled by a setting)
- Receiving an invite to give 360 feedback in a colleague's review (email instant, controlled by a setting)
- Receiving a reminder to complete your feedback invitation (email instant, controlled by a setting)
- A feedback-giver you invited to provide you feedback declines your invitation (email instant, controlled by a setting)
- Your manager adding an objective for you (emails grouped overnight, instant via the Slack/Teams app, controlled by a setting)
- Your manager updating your objective (emails grouped overnight, instant via the Slack/Teams app, controlled by a setting)
- You having upcoming objectives due in next 30 days (email grouped monthly, always)
- Your manager starting a check-in (email instant, if manager selects to notify you upon creation)
- Your manager sharing comments in/closing your check-in (email instant, always)
- Your manager sharing comments in/closing your review (email instant, always)
- Your manager rewinding your review to Stage 1 for you to edit your self-assessment (email instant, always)
- Your manager sending you a nudge to complete your review self-assessment (email instant, always)
- Your manager changing the due date of your check-in or review (email instant, if manager selects to notify you)
- Your admin adding you to your Appraisd account (email instant, if admin selects to send email with login details)
- Your admin creating a review for you (email instant, if admin selects to notify you upon creation)
To managers about their team
- Your team member receiving instant feedback (emails grouped overnight, instant notification via the Slack/Teams app, always)
- Your team member receiving a reply on their instant feedback (emails grouped overnight, instant notification via the Slack/Teams app, always)
- Your team member receiving 360 feedback within a review (emails grouped overnight, controlled by a setting)
- Your team member requesting 360 feedback for their review when managers must approve invitations (email instant, controlled by a setting)
- A feedback-giver you invited to provide feedback in your team member's review declining your invitation (email instant, controlled by a setting)
- Your team member adding an objective (emails grouped overnight, controlled by a setting)
- Your team member updating their objective (emails grouped overnight, controlled by a setting)
- Your team member having objectives due in next 30 days (email grouped monthly, always)
- Your team member starting a check-in (email instant, if team member selects to notify you upon creation)
- Your team member sharing comments in their check-in (email instant, always)
- Your team member sharing comments in/progressing in their review (email instant, always)
- Your team member changing the due date of their check-in or review (email instant, if team member selects to notify you)
- Your admin creating a review for your team member (email instant, if admin selects to notify you upon creation)
You can control email alerts on objectives by enabling/disabling the following three settings.

You can customise the email alerts sent by the system in Configuration > Email templates. The templates generate the opening line 'Hi {firstname}' so you don't need to include this.
